1. Tour Booking Process
Option 1: Self-Service Online Booking
You can browse our website for detailed itineraries, select your preferred travel date, and confirm your booking by making either a full or partial payment. After booking you can still demand further changes and if it costs more you will be billed for that and if it costs less, you will be refunded.
Option 2: Customize Your Plan
If you’d like a personalized itinerary, simply submit an inquiry, and weโll send you a detailed itinerary and quote based on your preferences.
Booking Confirmation
Once a final itinerary or plan is agreed upon, a Deposit submitted within 45 days to confirm your reservation. A completed Booking Form must be submitted so we have all the information needed to ensure your tour goes smoothly. Without this deposit, we cannot reserve any accommodations, restaurants, transportation, guides or activities.
Payment Terms
- A minimum of 75% of the total tour cost must be paid 15 days before the tour start date.
- For last-minute bookings (within 10 days of departure), full payment is required to confirm your spot.
- Payments for tour(s) can be made electronically, in cash handed to our guide, via mobile money in Ghana and must be fully settled before the tour begins.
2. Responsibilities of the Lead Traveler
The person making the booking, referred to as the “Lead Traveler,” assumes responsibility for ensuring all payments and booking forms are made. If any traveler fails to pay, the Lead Traveler will be held liable for covering the total cost of the booking. The Lead Traveler may also participate in the tour as a traveler or agent.
3. Accommodations
- Budget (1-2 stars): Basic amenities, potential for shared facilities, sometimes with air conditioning and no guarantee of consistent hot water.
- Mid-Range (3 stars): Basic but comfortable, with air conditioning, sometimes buffet breakfast, occasional hot water, and Wi-Fi availability.
- Upscale (Boutique Luxury): Modern hotels offering air-conditioning, reliable hot water, and enhanced comfort.
- Luxury (5 stars): Premium high-end accommodations with high-end service and amenities.
4. Travel Time
The projected road travel durations will be shared, but may vary due to factors such as traffic, road conditions, routes being used, and weather changes.
5. Meals
Meal quality will depend on both the destination; accommodation and the meal plan you choose. If meals are included in your tour, they might be served as a buffet or from a set menu by the restaurant or hotel. Guests who opt for a better meal package will have access to a wider range of dining options.
6. Pricing Policy
We aim to honor quoted prices, but external factors like changes in government regulations, domestic airfare, vehicle rental, meals or accommodation rates may cause slight price adjustments. We will let you know the price changes and work with you to ensure you have the best price possible for your tour.
7. Trip Modifications
If you request modifications to your plan during the tour, any additional costs incurred will be your responsibility. We will do our best to ensure your changes are made, but refunds will not be provided for any unused services which have been paid for already.
8. Consent
By making a payment, all travelers consent to the accuracy of the information provided on the Booking Form and accept these Terms and Conditions.
9. Postponements
If you wish to postpone your trip, any payments made will be credited toward a rescheduled tour within 4 months of the original start date. Postponements beyond this period will be treated as cancellations.
10. Cancellations
If you cancel your trip, we will refund payments made, minus a cancellation fee (up to 10% of the tour price) and any non-refundable costs like hotel, vehicle rental and domestic airline payment.
11. No-Show Policy
Failure to appear on the day of departure without prior notice will be considered a no-show. No refunds will be provided, and 100% of the payment will be forfeited to cover any costs incurred
12. Force Majeure & Trip Termination
Timeh Tours reserves the right to modify or cancel a tour due to events beyond our control, such as natural disasters, political unrest, or government actions. If a traveler wishes to terminate the tour early for personal reasons, refunds will be at the sole discretion of Timeh Tours.
13. Tour Hold-ups
Traveler-caused hold-ups or delays may result in missed activities, which are non-refundable.
14. Travel Coverage
While we strongly recommend purchasing comprehensive travel insurance, it is ultimately the travelerโs responsibility to secure adequate coverage to protect against cancellations, medical emergencies, and lost property. Timeh Tours will not be liable for any expenses resulting from a lack of travel insurance.
15. Reviewing Itinerary
Travelers are responsible for reviewing all itinerary details and must inform us promptly of any discrepancies.
16. Conduct
Timeh Tours reserves the right to exclude any traveler from the tour due to inappropriate behavior or health issues, without a refund.
17. Photographic Release
By participating in our tours, travelers grant Timeh Tours the right to take photographs and videos during the trip for promotional purposes. If travelers prefer not to be included in any promotional materials, they must notify us in writing prior to the tour.
18. Customer Feedback and Complaints
We value your feedback. If you have any complaints or concerns during your tour, please inform your guide or the Timeh Tours representative immediately so that we can address the issue in real-time.
19. Promotional Offers and Discounts
Any promotional offers or discounts are subject to specific terms and conditions. Offers may not be combined with other promotions and are only applicable during the specified period.
20. Liability Waiver
Timeh Tours, along with its agents and representatives, shall not be held responsible for any loss, damage, or injury experienced by travelers, except in cases of gross negligence or intentional wrongdoing on our part.
21. Governing Law
These Terms and Conditions are governed by the laws of the country or state in which your tour commences.
22. Privacy Policy
We value your privacy. Your personal information will be kept confidential and will not be shared with third parties unless required by law.
